Uwazi Privacy Policy

Purpose of the Privacy Policy.

Uwazi Pty Ltd (“Uwazi”, “we” or “us”) is an accounting software provider. We produce software that provides our “Clients” the capability of performing accounting recording and reporting online through our software (our “Service”).

Uwazi is committed to protecting and respecting the privacy rights of our Clients and the data that they provide about their Customers, Suppliers and Employees. We have created this Privacy Policy to inform you of how your private information will and will not be used by us. This Privacy Policy provides information on our policies and procedures regarding the collection, use and disclosure of personal information we receive from Clients, persons who are connected with clients and visitors who simply browse our web site or use in any way our software (“Visitors”).

Clients that collect information from people connected with them, such as Customers, Suppliers or Employees do so under their own privacy policies. Uwazi cannot be responsible for the contents of these policies or any party’s compliance with them.

By using or accessing our Service or web site in any manner, you acknowledge that you accept our Privacy Policy and the provisions within. You, through such use, consent that we will collect, use, and share your information in the ways provided by the Privacy Policy. Use of our software will also be subject to the Uwazi Software Agreement which makes its own provisions regarding disclosures and information.

This Privacy Policy may be updated from time to time. We will notify you of any material changes by posting the new Privacy Policy on our web site. We will endeavor to make a link to the Privacy Policy available from the home page of the web site. You should read the policy regularly as it may change over time.

What kinds of information do we collect?

Anonymous Information

This is information that cannot be tied to a specific individual. Information can be of a statistical nature, such as numbers of people viewing a page on our web site.

Personally identifiable information

This information is identifying. It can include information such as your name, data of birth, title, email address, physical addresses and contact phone numbers. If you make use of our Service, such as creating an account, a membership or an accounting database, we will be collecting some of this information about you and entities, such as companies, that you are associated with.

If you use our Service to create accounting databases, you will be entering into a financial relationship with us. Some of your information will be shared with financial service providers, such as (but not limited to) Paypal or Stripe. These providers will collect payment information from you, such as credit card information. These providers also have their own privacy policies. We are not responsible for these providers policy contents and their compliance with their policies.

How do we use the information that we have collected?

Anonymous Information

Like most websites, we gather information provided by your browser and internet service (such as service provider, operating system, browser version etc.) and store it in log files. This information is used by us to provide the web site and our Services to our Visitors and Client and connected persons. This information helps us to ensure our web site and Service meets the needs of people that use it.

We may link some of this anonymous information to associated Personally Identifiable Information. We do this to aid us in delivering the Service to you, our Clients and connected persons.

Personally identifiable information

Our Service is designed to support the operation of business through generation of business documents. These include invoices, statements, purchase orders, accounting reports and other related documents. Most of these documents require the collection and use of Personally Identifiable Information to order to be prepared.

Personally Identifiable Information is also used in preparing transactions which may be executed through third party platforms as directed by our Clients. Transaction data includes this kind of information to identify parties to those transactions. 

Disclosure to third parties

In the course of our business, Uwazi discloses information to third parties. This disclosure includes both anonymous and personally identifiable information. We disclose what is necessary, depending on context, so we can deliver our web site and our Service to you, Clients and connected persons.

We make use of third party services for hosting our web site and Service. Our platform requires internet connectivity, hosting our sites, applications and databases. We use cloud providers for these services and choose them based on their privacy policies where they will not use Personally Identifiable Information for purposes not directly connected to our own web site or Service. If these providers do not comply with their own policies, our recourse may be practically limited to moving to alternative providers.

We make use of third party services for transaction services, such as transaction execution and reporting. We use payment processors, such as Paypal and Stripe for these services. We use cloud providers for these services and choose them based on their privacy policies where they will not use Personally Identifiable Information for purposes not directly connected to the relevant transactions. If these providers do not comply with their own policies, our recourse may be practically limited to moving to alternative providers.

We make use of third party services for email, sms and social messaging delivery. Information is disclosed to these services to facilitate delivery of such messaging. We use cloud providers for these services and choose them based on their privacy policies where they will not use Personally Identifiable Information for purposes not directly connected to the relevant messaging. If these providers do not comply with their own policies, our recourse may be practically limited to moving to alternative providers.

Can you view,change and remove Personally Identifiable Information?

Through our service, as a Client, you can access information. This includes information about you as a user and a Client. It also includes information about connected persons such as Customers, Suppliers and Employees connected to your business as a Client.

The Service provides you with an interface to make amendments to this information. You are able to delete some information, however there are limits as information remains in use in order for us to provide the Service to you consistent with accounting requirements.

If you choose to no longer make use of the Service and your account with us is in good standing, you are able to delete all Personally Identifiable Information that is maintained by the Service.

Non-identifiable Aggregate Statistics

We may disclose non-identifiable aggregate statistics regarding user behavior as a measure of interest in, and use of our website and Service and e-mails to third parties in the form of aggregate data, such as overall patterns or demographic reports that do not describe or identify any individual user or Client.

Complying with Legal Process

We reserve the right to use or disclose your Personally Identifiable Information and other information in response to subpoenas, court orders, warrants, or legal process, or to otherwise establish or exercise our legal rights or defend against legal claims or in the event you violate or breach an agreement with us. We may use and disclose your Personally Identifiable Information if we believe you will harm the property or rights of Uwazi or or those of our Clients and connected persons. We might share information when we are investigating potential fraud.

Cookies And Tracking Technologies

General Use

We use cookies, tracking pixels and related technologies on our website. Cookies are small data files that are served by our platform and stored on your device. Our site uses cookies dropped by us or third parties for a variety of purposes including to operate and personalize the website. Also, cookies may also be used to track how you use the site to target ads to you on other websites.

Third Parties

Our website employs the use the various third party services. Through the use of our website, these services may place anonymous cookies on the Visitor’s browser and may send their own cookies to the Visitor’s cookie file. Some of these services may include, but are not limited to: Google, Facebook, Twitter, LinkedIn, SendinBlue and other social networks, advertising agencies, security firewalls, analytics companies and service providers.
